Pittsburgh CLO is a not-for-profit cultural organization dedicated to the preservation, creation and promotion of the American musical theater art form, the furnishing of arts education and providing outreach and meaningful community service opportunities in Western Pennsylvania and throughout the United States.

The Pittsburgh CLO, the largest not-for-profit musical theatre producer in Western Pennsylvania, is seeking a Producing Assistant. This position supports the artistic goals of the Producing Department as administrative assistant to the Associate Producers and serves as the primary point of contact and information hub for the Producing Department. 

What you’ll do: 

  • Serve as the first point of contact for Producing Department inquiries; triage incoming and outgoing communications and requests.
  • Create and maintain production contact sheets, ensuring all information is entered by the deadline and that data presented is organized, accessible and accurate.
  • Maintain and distribute production related calendars and correspondence.
  • Support the audition process; including audition notices, submission tracking, hospitality, recruiting and scheduling volunteers.
  • Serve as script coordinator for all CLO productions including script and score preparation.
  • Maintain season planning lists and artist contacts.
  • Create and maintain tracking databases for auditions, offers, and contracting. 
  • Assist with artist travel, housing, and hospitality.
  • Prepare performance related information for the Marketing Department; schedules, cast lists, content warnings, talking points, etc.
  • Support Infectious Disease protocols, and serve as backup for Infectious Disease testing and monitoring.
  • Take and distribute minutes for all production meetings.
  • Assist Human Resources Manager with the collection of onboarding documentation.
  • Read and evaluate script submissions as a member of Pittsburgh CLO’s Literary Team.
  • Prepare and maintain Producing office and rehearsal supply kits.
  • Engage in company-wide conversations and trainings related to Pittsburgh CLO’s Diversity, Equity, Accessibility and Inclusion (DEAI) goals and work to implement production practices that are rooted in anti-oppression and anti-racism.
  • Other duties as required.
