POSITION SUMMARY:
The Rental Events Coordinator produces and facilitates rental events from contract signing through post-event settlement - coordinating, communicating, and ensuring the smooth occurrence of all administrative, staffing, and technical elements of rental events in ZACH Theatre spaces.

The Rental Events Event Coordinator works closely with a client (or the client technical representative), and the ZACH Staff to ensure all details are anticipated, planned for, and delivered as envisioned and are within the available parameters as dictated by other ZACH-produced events.

In addition to the technical skills, the Rental Events Coordinator must be able to gather and disseminate detailed information, communicate clearly, set expectations, train a knowledgeable and skilled team of Event Managers on event details, and provide a high level of customer service in a fast-paced environment in a timely manner.
 
ESSENTIAL FUNCTIONS:
  • Ensures the collection, organization and communication of all rental production needs including staffing no less than 30 days prior to each rental. Documentation for rentals must be reviewed and approved by Production and Technical Director prior to distribution. 
  • Communicate with the Associate Managing Director and other ZACH departments as needed on all aspects of rentals events, particularly about details that will affect the cost of an event for a client. Updates Rental Events’ Process Checklists, Inventory Lists, and Staffing Spreadsheets regularly, with input from appropriate Department Heads.
  • Assure all city compliance issues and permitting are facilitated in a timely manner.
  • Hires and schedules appropriate crew for each rental. Use of existing full-time ZACH staff must be approved by their supervisor prior to scheduling. 
  • Creates stage plots and event diagrams for rentals. 
  • Assures that clients and vendors are abiding by the ZACH contract/estimations.
