GENERAL SUMMARY
 
The Artistic Department Coordinator provides administrative support to the entire Artistic Department, Music Director and Guest Artists of the San Diego Symphony Orchestra. This position reports directly to the Associate Director of Artistic Planning and will work closely with the VP of Artistic Planning in performing the administrative functions required for the smooth and exceptional execution of San Diego Symphony presentations.
 
PRINCIPAL DUTIES AND RESPONSIBILITIES
 
Fulfill artist contract requirements and coordinate all logistics directly with artist management, including but not limited to:
  • Arranging travel to and from San Diego
  • Arranging for transportation to and from the airport, rehearsals, performances, and other guest appearances
  • Arranging artists’ accommodations during their stay in San Diego
  • Arrange all aspects of hospitality per Artist Rider for all rehearsals and performances
  • Coordinate and schedule piano/vocal rehearsals, secure rehearsal pianist, and liaise with engaged choral ensembles
  • Coordinate guest piano soloists’ private practice times and locations with artists’ management, artists directly, and in-house staff
  • Draft and distribute artist itineraries and manage daily schedules of artists during engagements
  • Participate in backstage concert duty, maintaining on-call status to assist guest conductors and artists, as well as work closely with Operations and Production team for all pre, during and post-concert activities
  • Assist with maintaining security lists, backstage access requests, complimentary ticket requests and requests for guest artists from other departments
  • Assist in communicating information regarding artists and programming to library, production, marketing, development and other staff
  • Review and input fee, rehearsal schedule and other information to generate contracts via OPAS and any work visa applications for guest and resident artists, and maintain both hard copy and electronic files
  • Maintain Symphony’s repertoire list of performed works, soloist fees, chamber music participants, and other running-history documents
  • Assists with maintaining up-to-date expense and budget spreadsheets for accurate assessment of expenditures; assists in preparation of annual department budget
  • Assist with managing artistic content in OPAS
  • Research artist availabilities and assist with creation of offer sheets as assigned
  • Assist with season calendar planning in accordance with the orchestra CBA and subscription series requirements
  • Assist the VP of Artistic Planning and Associate Director of Artistic Planning, Music Director and other key staff with aspects of advance program planning and execution to ensure that marketing and production timelines are met
  • Perform other related duties as assigned or as the situation dictates
 
KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED
  • Detail oriented

  • Flexible schedule
  • Ability to use MS office programs, especially Excel, Word and Outlook
 
Education and Experience:
A knowledge and passion for classical music is essential to this position.
